Position Description

 

The purpose of this position is to provide clerical and administrative support to the Housing and Neighborhood Services Department by responding to customer inquiries as well as performing other departmental and organizational duties. This is accomplished by receiving phone calls, greeting and directing walk-in visitors, creating and distributing correspondence, copying, faxing, making travel arrangements, distributing mail, completing reports, preparing minutes, maintaining office supply inventory, completing departmental purchase orders, processing reimbursement requests and invoices, assisting with budget preparation, preparation of website updates and monitoring public interface, and maintain records and files. Other duties include monitoring the budget, keeping employees informed of work-related activities, assisting other departments, maintaining employee records, and providing back-up for other clerical staff. 

 

Typical Tasks

 

Provides administrative support for the Housing and Neighborhood Services Department director by answering the phone, screening and referring callers, scheduling appointments and maintaining the calendar, locating and providing information to citizens, maintaining the department filing system, typing, printing, and distributing departmental correspondence, making travel arrangements, distributing mail and maintaining records and filing systems.

Provides clerical support to the department by faxing and copying documents; publishing legal notices and affidavits, attending meetings and taking minutes of the meetings and assisting with logistics; maintaining documents and registration files; and ordering and maintaining office supplies.

Coordinates the preparation and submission of regularly scheduled information such as payroll, budgets, requisitions and purchase orders, and grant applications, assist with the Human Services Grant contract documents, budgets, and requisitions, and assists or coordinates special projects.

 

Qualifications

 

Education and Experience: 
High School Diploma or equivalent and minimum of 1 year of experience performing administrative functions for a department.

Applicant Status Updates:  After the closing date for this position, applications will be screened by Human Resources. Health Benefits are offered to employees working at least 30 hours per week. 

Health Insurance - The City offers two options for health coverage: a standard PPO plan and a High Deductible Health Plan with an associated Health Savings Account. Coverage becomes effective the first day of the month following 30 days of employment for employees and their eligible dependents. Both you and the City contribute to the overall cost of coverage.  
Dental Insurance - Coverage becomes effective the first day of the month following 30 days of employment. Employees, their spouse and dependent children are eligible for coverage.

Life Insurance - The city pays to provide coverage valued at one times your annual salary. Supplemental insurance is available for employees to purchase. Optional coverage for dependents is also available for purchase.

Retirement:
 - NC Local Government Retirement System - All benefits eligible employees make a mandatory 6% contribution every pay period.

 - Deferred Compensation – The city contributes an amount equal to 4.5% of the annual salary to either the 401(k) or 457 plans regardless of employee contribution. Employees may choose to contribute additional money to the deferred compensation plans, without a match from the City, within the IRS guidelines.
 
Paid Leave (offered to employees working at least 1,000 hours annually*): 
 - Sick Leave - 12 days accrued each year
 - Annual Leave - Accrual based on years of service and classification. Employees can earn from 10 to 24 days each year.
 - Holidays - 12 paid holidays annually
 - Paid Parental Leave - Six weeks of paid leave for the birth, adoption or placement of a child (must run concurrently with FMLA).

*Part-Time Employees will earn paid leave benefits on a pro-rated basis.

Note: The City of Wilmington is on a bi-weekly pay cycle. New employees should expect to recieve their first paycheck approximately 3 weeks after their start date.
